Personal Assistant

We are recruiting for an experienced Personal Assistant to work closely with our Managing Director. We are looking for a confident person with the ability to build excellent working relationships and communicate effectively with clients and staff at all levels. Good IT and typing skills essential as well as discretion, confidentiality and meticulous attention to detail.

This is a full-time permanent vacancy working Monday to Friday 09:00 – 17:30 with a start date of the beginning of December 2022.

Typical duties include:

  • Screening telephone calls and enquiries and handling them when appropriate
  • Meeting and greeting visitors at all levels of seniority
  • Organising and maintaining diaries and making appointments
  • Dealing with incoming emails and post
  • Typing from dictation and taking KAPs/minutes/notes at meetings
  • Producing documents, briefing papers, reports and presentations
  • Organising and attending meetings and ensuring the MD is well-prepared for meetings
  • Liaising with clients, suppliers and other managers/staff
  • Maintaining office filing and data systems
  • Carrying out ad-hoc personal tasks for the MD
  • Organising Company functions and events
  • Updating Company policies and procedures
  • HR administration duties, including recruitment, absence, maternity, maintaining the HR system, liaising closely with Payroll
  • Working with others to champion sustainability within the organisation

 

Required:

  • A minimum of two years in a similar Personal Assistant/Executive Assistant role essential, however we are looking for the right person for this important role
  • Good IT skills – able to take typing/dictation over the phone – Excel – Outlook – Word
  • Emotionally intelligent – intuitive – personable
